Let's Start With the Tables
“Tables included” sounds pretty ordinary, until you see what some venues mean by tables. At Pole Barn Chic, our reception tables aren't basic plastic folding tables hidden underneath linens. We use handmade wooden tables built extra wide so guests actually have room for their place settings, drinks, centerpieces and personal space. We own enough tables and chairs to accommodate approximately 250 guests, with furniture available in dark brown and white. And our tables aren't designed to disappear underneath tablecloths.
They're part of the room. That matters financially because if you choose a venue whose included furniture doesn't fit your wedding aesthetic, you may end up renting different furniture anyway. An inclusion only saves you money if you actually want to use it.
More Than 5,000 Pieces of Wedding Décor
This may be one of the most misunderstood parts of Pole Barn Chic's pricing. When we say we have wedding decorations, we don't mean there's a closet somewhere containing 37 mismatched vases left behind by previous brides. We intentionally invest in professional wedding décor. At this point, our inventory contains more than 5,000 pieces. I've spent thousands upon thousands of dollars purchasing, maintaining and storing that inventory because I want couples to have access to pieces that photograph beautifully and actually belong in a professional wedding venue. Why does that matter? Because décor gets expensive very quickly. One centerpiece doesn't cost much. Now multiply it by 20 tables. Add candles. Stands. Vases. Signs. Frames. Table numbers. Backdrops. Decorative accents. And specialty pieces. Then, somebody has to transport all of it. Set it up. Take it down. Store it. Sell it afterward. Or put it in Mom's basement for the next decade.
Professional venue inventory can save couples both money and an enormous amount of work.
Please Don't Buy a Wedding's Worth of Stuff Unless You Actually Want To
I have seen couples attempt to save money by DIYing enormous amounts of their wedding décor. Sometimes it works beautifully. Sometimes it doesn't. And sometimes the finished product doesn't photograph at the level the couple hoped it would. That's one of the reasons we've invested so heavily in professional props and décor.
You are already paying a professional photographer thousands of dollars to capture your wedding. We want them to have beautiful things to photograph. A less expensive venue that requires a complete decorative overhaul can become very expensive very quickly. If you have to spend thousands making the venue look like somewhere you actually want to get married, was the venue really cheaper?
Your Ceremony Location Has a Price, Too
Where are you getting married? It's an obvious question that can have surprisingly complicated financial consequences. Pole Barn Chic has hosted ceremonies in multiple areas of the property, including our courtyard, front lawn and pond area. That means couples who want their ceremony and reception in one location have that option. Now compare that with renting a reception-only property. Maybe you also need a church. Or another ceremony venue. Maybe you need another set of decorations.
Transportation. Additional vendor time. Separate directions for guests. And now, immediately after saying “I do,” 150 people need to get into cars and travel somewhere else. There is nothing wrong with a separate ceremony and reception if that's what you want. But don't compare the reception venue's price with an all-on-one-property wedding venue and call them equivalent.
They aren't providing the same thing.
Wedding Photo Locations Are Part of the Value
One of the reasons people choose beautiful wedding venues is photography. At Pole Barn Chic, couples can take photographs around the pond, outside the barn, inside the barn, throughout the front lawn, in the courtyard, near the stonework, at the front gates, around our horse steps, inside the house, in the groom's garage and in other areas throughout the property. And we're continuing to create more. Why does that save money? It primarily saves something arguably more valuable on wedding day:
Time. You don't have to load the entire wedding party into vehicles and drive 20 minutes somewhere else to get a different background. Your photographer can create dramatically different images without leaving the property. Ten minutes saved here. Twenty minutes there. Thirty minutes somewhere else. Wedding days move incredibly quickly.
Having everything in one location gives some of that time back.
Two Separate Getting-Ready Areas Matter
Currently, Pole Barn Chic provides separate areas for both sides of the wedding party. The ladies can prepare in the on-site house, including the upstairs bridal suite, while the groom and groomsmen have the groom's garage. That does more than provide somewhere to put on a dress or tie. It keeps the wedding together. It gives our team the opportunity to help keep people on schedule. We can prepare the space. Turn on the lights. Get the music going. Help create the atmosphere. Assist when someone needs something. And help keep the day moving toward the ceremony. Compare that with getting ready at multiple hotels, houses or Airbnbs.
Someone has to watch the clock. Someone has to get everybody out the door. Someone has to make sure everything gets into the cars. Someone has to coordinate with the photographer. Someone has to make sure important items aren't left behind.
Convenience isn't simply a luxury. On wedding day, convenience is logistics.
Free, Paved, Lit Parking Is Worth Something
Parking isn't sexy. Nobody has a Pinterest board called: “Dream Wedding Parking Lots.” 😂 But invite 200 people somewhere and suddenly parking matters a lot.At Pole Barn Chic, guests have access to free, paved and well-lit on-site parking directly outside the barn, with parking capacity designed around events of approximately 200 guests.
When additional parking is needed, we can use areas along the rock drive and assist guests with golf carts. There is no downtown parking garage to navigate. No parking meter. No valet requirement simply because there's nowhere else to put your car.
And importantly, older guests aren't expected to hike half a mile to get to the reception. It isn't glamorous. But it's part of guest experience. And guest experience has value.
Yes, Heat and Air Conditioning Matter in Illinois
This is Central Illinois. We can experience what feels like three seasons before dinner. 😂 Pole Barn Chic is a newer event barn with substantial heating and air-conditioning capacity. The interior reaches approximately 30 feet in height, yet our system can change the indoor temperature remarkably quickly—under the right conditions, we've seen changes approaching 10 degrees in only several minutes.
And climate control isn't an extra utility charge added to the couple's wedding bill. It's part of operating the venue. Our enormous doors can also affect the indoor temperature quickly, which is why we continually tell guests: Dress in layers. But the ability to respond to those temperature changes is an important part of having a newer, professionally designed event space.
New Construction Has Value
There's something incredibly romantic about an old barn. But there's also something wonderful about a barn designed for modern events. Pole Barn Chic combines an older farm property with a newer wedding building.
Our barn has modern heating and cooling. Sealed doors. Large bathrooms. Large, sealed windows. Modern infrastructure. And one of my favorite architectural elements: our glass cupolas, complete with chandeliers suspended inside them. When those chandeliers are illuminated, they can be seen from outside the building. We didn't take an agricultural barn and simply decide to start putting weddings inside it.
This barn was developed around the experience we wanted weddings to have. That's an important distinction when comparing wedding venues.
Let's Talk About the Bar—Because This Can Get Expensive
This is one of the areas where couples can experience enormous differences between wedding venues. At Pole Barn Chic, couples can choose to have a dry wedding. If you're not serving alcohol, you don't need to create a giant alcohol expense just because you're getting married. If you choose alcohol service, our current bar minimum is $750.
Why have a minimum at all? Because we can't reasonably schedule bartenders for an entire event to sell two beers. There needs to be enough business to support staffing the bar. But I've deliberately tried to keep that minimum reasonable. Not everybody drinks.
Some couples barely drink at all but want alcohol available because some of their guests enjoy it. I don't believe that automatically means they should have to purchase thousands of dollars in alcohol they'll never consume. And I've seen exactly how extreme this can become.
The Nearly $5,000 Bar Bill That Changed How I Looked at Wedding Pricing
We once had a bride who needed to move her wedding to Pole Barn Chic at the last minute. She had already prepaid almost $5,000 toward the bar at the previous venue. When the wedding actually happened, the alcohol consumed amounted to only roughly $300. That floored me. We refunded the unused money. That experience reinforced something I've believed ever since:
Wedding pricing should make sense. A venue has legitimate expenses. Staff need to be paid. Inventory costs money. Buildings cost money. Insurance costs money. Utilities cost money. Businesses have to make a profit. But I don't believe a wedding should become an excuse to charge someone thousands of dollars for something they never actually received. That's one of the reasons we've intentionally kept our bar minimum relatively low.
A Professional Wedding Venue Has Professional Staff
Another mistake couples make when comparing prices is treating labor as though it has no value. Pole Barn Chic is not an unattended rental building. Depending upon guest count, bar needs and the specifics of the wedding, there may typically be approximately four to eight PBC team members working during an event. Our event staffing is built into our pricing rather than presenting couples with a building and expecting them to figure out everything themselves. That team may include people serving guests, bartending, maintaining the property, monitoring bathrooms, helping with logistics and handling everything else happening behind the scenes. And as the owner, I'm usually on the property too. I've spent 17 years in service, so I tend to fall right back into waitress mode. I see an empty drink? I'll get a refill.
Someone needs something? I'll try to help. A guest needs directions? I'll take care of it.
You're not only renting our property. You're being welcomed onto it.
What Does Professional Wedding Support Look Like Before the Wedding?
A tremendous amount of work happens before anyone walks down the aisle. Pole Barn Chic couples receive an extensive wedding handbook and planning document when they sign—approximately 60 pages of information and guidance. We allow couples to meet with us as often as needed. Communication is extremely important to us. Our brides can communicate directly with the team through a shared chat, and I personally tend to answer messages whenever I see them—even when that happens well outside normal business hours. Why? Because wedding questions don't always occur between 9:00 and 5:00. 😂
That access is difficult to assign a dollar value to. But if you've ever tried to plan a wedding while waiting four days for an answer to a simple question, you understand its value immediately.
Rental-Only and Coordination Are NOT the Same Thing
This is extremely important. Pole Barn Chic offers different levels of service. Renting the venue does not mean you've hired our team to coordinate your wedding. Rental access provides the contracted spaces, venue inventory and applicable inclusions. If you've purchased our coordination package, PBC takes on considerably more responsibility for setup, execution, vendor communication, timelines, cleanup and the hundreds of little tasks required to make a wedding actually happen.
If you haven't purchased coordination? Those jobs don't disappear. They transfer to somebody else. Usually Mom. Dad. The maid of honor. A sister. An aunt. Or the couple themselves. And this is where “saving money” can become very misleading.
Family Labor Isn't Actually Free
Suppose you decide not to pay for wedding coordination. Okay. Who is communicating with the vendors? Who is creating the timeline? Who is executing it? Who is setting everything up? Who is ironing linens? Who is preparing the bar? Who is handling deliveries? Who is wiping tables? Who is cleaning? Who is mopping? Who is dealing with leftover catering food? Who is answering vendor questions? Who is solving the problem nobody expected? And who is doing all of that before the eight-hour wedding day even begins? Couples sometimes calculate DIY savings as though everybody else's labor is worth $0. Technically, Grandma may not send you an invoice. But if she spent your wedding reception cleaning instead of dancing with you, there was still a cost. It simply wasn't financial.
What Is It Worth for Mom to Actually Be Mom?
This may be one of the most important questions in the entire article. What's it worth for the mother of the bride to actually be present with her daughter? What's it worth for Dad to have a drink and talk to relatives instead of moving furniture? What's it worth for the maid of honor to dance instead of calling a vendor? What's it worth for your sister to be in photographs instead of cleaning up? To us at Pole Barn Chic, it’s Priceless. There are things you can do yourself to save money. There are also moments you cannot buy back afterward. That's why I encourage couples to look at coordination as more than another wedding expense. You're purchasing time and responsibility. Someone else is carrying both so the people you love don't have to.
The LED Dance Floor and Uplighting
Pole Barn Chic also has specialty enhancements available that couples would otherwise need to source from an outside vendor. Our LED dance floor and uplighting are offered together as a rental package. We also maintain other specialty inventory and entertainment options, including items such as champagne walls, confetti cannons and foam cannons, depending on the event and applicable venue rules. Again, these aren't things every wedding needs. But that's the point. You don't need to pay for every possible wedding feature just because it exists. Choose the things that matter to your wedding.
What Couples Commonly Think They'll Need to Buy
We've had couples assume they'll need to spend substantially more on: Decorations. Reception help. Tables and chairs. Ceremony seating. Dance-floor options. Lighting.
And especially: The bar. Then they learn what PBC already owns or provides. That's where the true value of a wedding venue starts becoming apparent.
What Does It Cost to Keep a Wedding Venue Wedding-Ready?
Here's another part couples never see. A professional wedding venue doesn't magically reset itself every Friday morning. There are staff wages. Groundskeeping. Janitorial work. Maintenance. Storage. Repairs. Mulch. Landscaping. Tree care and watering. Utilities. Inventory replacement. Cleaning. Building upkeep. Equipment.
And thousands of pieces of décor that need to be purchased, maintained, organized and stored. Pole Barn Chic hosts weddings throughout the week, so keeping the property wedding-ready is part of our normal operation. When you tour, you're not supposed to have to imagine what the property could become. We want you to be able to see it.
“But Another Venue Is $2,000 Cheaper.”
Okay. My first question would be: What comes with it? If the other venue provides everything you want, fits your budget, treats your guests beautifully and makes you happier than Pole Barn Chic? Choose it. Seriously. You should choose the wedding venue that's right for you. But don't tell yourself you've saved $2,000 until you've priced everything required to make the two experiences comparable. Add the tables. Add the chairs. Add the ceremony. Add the décor. Add the getting-ready locations. Add staffing. Add parking expenses, if any. Add the bar requirements. Add rentals. Add delivery. Add setup. Add cleanup. Add coordination. Add an officiant. And then ask yourself another question:
How much work am I transferring to my family? Now compare the numbers again.
A Cheap Wedding Venue Becomes Expensive When You Have to Rebuild It Into the Venue You Wanted
There are wonderful inexpensive venues. There are also inexpensive spaces that require enormous amounts of work before they resemble the wedding a couple envisioned. If you love DIY projects, that may be perfect. But if you rent a less-expensive venue and then spend thousands trying to make it look like the more expensive venue you originally loved? You haven't necessarily saved money. You've simply moved the expense. And sometimes you've added a lot of labor along with it. Don't pay for one venue and then spend the rest of your budget trying to turn it into another one.
Why Pole Barn Chic Is Intentionally Priced the Way It Is
Could we attempt to position Pole Barn Chic at a substantially higher price point? Probably. If you took this property, this building, this inventory and this level of staffing and dropped it into a much larger metropolitan wedding market, I believe the price would look very different.
But we're not in downtown Chicago. We're not in St. Louis. We're in Springfield, Illinois.
And I don't want beautiful weddings to be reserved exclusively for people with enormous wedding budgets. Our goal is to provide a professionally operated, high-end wedding experience while keeping the starting point within reach for more Central Illinois and Midwest couples. I don't want the venue itself to put someone into debt before they've bought dinner. We want your wedding dollars to stretch. Not by making your wedding look cheap. By giving you more of what you would otherwise have to purchase separately.
