What Is Actually Included When You Rent a Wedding Venue?

You found two wedding venues you love. Venue A costs $5,000. Venue B costs $7,000. Easy decision, right? Not necessarily.

One of the biggest mistakes couples can make while comparing wedding venues is looking at the rental price without looking closely at what is actually included in that price. One venue may provide little more than the building. Another may include tables, chairs, décor, setup assistance, getting-ready spaces, ceremony areas, staff, parking and other amenities that you would otherwise need to rent or coordinate separately.

1. The Actual Venue Space

This sounds obvious, but start here.

When you rent a wedding venue, which spaces are actually included?

3. Tables and Chairs

Are tables and chairs included? If they are, find out exactly what is provided. How many tables? What sizes and shapes? What kind of chairs? Are ceremony chairs included too? Who sets them up? Who moves them if the room needs to be transitioned? Who puts them away? If tables and chairs aren't included, you'll need to calculate rental costs, delivery charges, pickup fees and potentially setup labor.

Those costs can add up quickly.

4. Linens

Some wedding venues include linens. Others don't. And "linens included" can mean very different things.

Ask whether the venue provides:

• Tablecloths

• Napkins

• Table runners

• Specialty linens

• Multiple color choices

• Setup

• Laundry and cleaning

If linens are rented separately, remember that you're not simply paying for fabric. You're also potentially paying for delivery, setup, pickup and laundering.

5. Décor and Centerpieces

This is one of the biggest areas where wedding venues differ. Some venues provide virtually no décor. Others maintain an inventory couples can use.

That inventory may include:

• Centerpieces

• Candleholders

• Vases

• Easels

• Signs

• Table numbers

• Arches

• Decorative stands

• Lanterns

But don't stop at asking, "Do you have décor?" Ask: Is it included? Some pieces may be complimentary while premium, fragile, heavy or labor-intensive items may have rental fees. Also ask who sets everything up and who puts it away.

6. Setup and Decorating

This is a huge one. A venue may include tables, chairs and décor but still expect you to set everything up. That means someone has to do it. Will it be the bride? Mom? Bridesmaids? Friends? A hired decorator? A wedding coordinator? If professional setup isn't included, consider the value of your time—and the time of the people closest to you.

Your wedding morning should not automatically turn your family and bridal party into an unpaid setup crew. Ask exactly what the venue staff handles and what remains your responsibility.

7. Cleanup and Tear-Down

Couples spend a lot of time thinking about how everything gets set up. They don't always think about what happens at 11:30 p.m. Who clears the room? Who gathers your personal décor? Who takes down centerpieces? Who handles trash? Who removes rental items? Who cleans the tables?

Who sweeps or cleans the venue? What does the caterer handle? What does venue staff handle? And what must your family handle? If your contract says everything must be removed at the end of the night, make sure you have a plan. Nobody wants Mom loading centerpieces into an SUV at midnight in formalwear.

8. Bridal Suite and Groom's Getting-Ready Space

Getting-ready spaces aren't automatically included at every venue. Ask whether the bridal suite and groom's area are part of the package you're considering. Also ask when you can access them. A beautiful bridal suite that opens two hours before the ceremony may not accommodate a bridal party that needs six hours for hair, makeup, dressing and photographs. Think about both the space and the time.

9. Ceremony Rehearsal

Is your wedding rehearsal included? Can you rehearse the night before? How much time do you receive? Is venue staff present? What happens if another wedding or event is scheduled before yours? Rehearsal policies vary considerably, especially at venues that host multiple events each week. Ask before assuming Friday evening belongs to you simply because your wedding is Saturday.

10. Parking

Parking isn't glamorous. Until you don't have enough of it. Then it becomes very important. Ask whether parking is included and whether there is enough space for your expected guest count.

Also consider:

• ADA-accessible parking

• Vendor parking

• Rideshare pickup

• Bus or shuttle access

• Lighting

• Distance guests need to walk

11. Venue Staff

When a venue says "staff included," find out what that means. Are they: Venue managers? Wedding coordinators? Bartenders? Servers? Security? Parking attendants? Setup staff? Cleaning staff? These jobs are not interchangeable. A venue manager may be responsible for the building but not for managing your wedding timeline. A bartender manages the bar—not your ceremony.

A coordinator may oversee vendors and wedding-day logistics. Ask exactly who will be working your wedding and what each person's responsibilities are.

12. Wedding Coordination

This deserves its own category. Venue management and wedding coordination are not necessarily the same thing.A wedding coordinator may help create or manage your timeline, communicate with vendors, coordinate ceremony timing, oversee transitions and solve wedding-day problems. Some venues include coordination. Some offer it as an upgrade. Others don't provide it at all. If coordination isn't included, determine whether you'll need to hire an independent wedding coordinator. Then include that expense when comparing venue costs.

13. Bar Service

Alcohol policies vary tremendously between wedding venues. Some venues operate their own bars. Some require couples to use a specific beverage provider. Some allow outside alcohol under certain conditions. Others prohibit it.

Ask:

• Who provides the alcohol?

• Who provides bartenders?

• Is there a bar minimum?

• Are there bartender fees?

• Is security required?

• Can we choose our beverages?

• Can we have signature drinks?

• What happens to unopened alcohol?

• Are gratuities included?

• Are there additional service charges?

Bar costs can represent a significant portion of the wedding budget, so understand the rules before signing.

14. Security

Some venues require professional security. If yours does, ask whether it is included in the rental price or charged separately. Also ask how many security staff members are required and whether that number changes with guest count. This is exactly the kind of smaller expense that couples may overlook when comparing venue proposals.

15. Climate Control

Is the venue heated? Is it air-conditioned? Are all areas climate controlled—or only certain ones? For an Illinois wedding, this matters. Central Illinois can bring heat, humidity, cold, wind and rapidly changing temperatures depending on the season. And even in climate-controlled venues, large doors and indoor/outdoor transitions can affect temperatures throughout the evening. Our extraordinarily large barn doors may be opened during portions of the celebration, and the temperature inside can become warmer or cooler surprisingly quickly.  Comfort is part of the wedding experience.

16. Restrooms

Yes, ask about bathrooms. How many are there? Are they inside the venue? Are they climate controlled? Are they ADA accessible? Who maintains them during the wedding? Will they be shared with another event? Guests notice bathrooms. They may not compliment you on wonderful restrooms, but they'll certainly remember bad ones. Except at Pole Barn Chic. 17. Sound, Lighting and Entertainment Features

Don't assume the room itself includes everything you saw during your tour.

Ask about:

• Built-in speakers

• Microphones

• Ceremony sound systems

• Decorative lighting

• Chandeliers

• Dance floors

• Specialty lighting

• TVs or projection equipment

• Outdoor sound

Some venues include these amenities. Others charge separately or require outside vendors.

18. Insurance, Taxes and Service Charges

Before comparing final prices, find out what isn't shown in the large number at the top of the proposal.

Ask about:

• Sales tax

• Service charges

• Required insurance

• Damage deposits

• Security deposits

• Cleaning fees

• Credit-card fees

• Staffing fees

• Required gratuities

• Overtime charges

The price that matters isn't the advertised rental price. It's the amount you'll actually spend.

19. What Is NOT Included?
This may be the most useful question of all. Instead of asking only: "What's included?" ask: "What will I still need to rent, purchase or hire after I book you?" That question often produces a much clearer answer. You may discover you still need linens, chairs, décor, a coordinator, bartenders, security, cleanup, sound equipment or additional setup time. None of those things necessarily make a venue a bad choice. You simply need to know about them before comparing prices.
